Booking & Agreement

A booking with Stage & Social is confirmed once the client has accepted a quotation, agreed to proceed in writing, or made payment for the chosen service.

Before work begins, Stage & Social will confirm the agreed package, services included, pricing and any relevant deadlines.

By booking services with Stage & Social, the client agrees to provide the information, materials and access required for the service to be completed. This may include logos, brand guidelines, photographs, videos, event details and other relevant content.

Stage & Social will make reasonable efforts to deliver services within agreed timescales. Timelines may be affected where required information, approvals or feedback from the client are delayed.

Payment terms

Payment terms will be confirmed before work begins and will depend on the service or package selected.

For monthly social media packages, payment is required in advance at the beginning of each billing period unless otherwise agreed in writing.

For one-off services, including content creation sessions, summer packages and event promotion packages, payment is required according to the agreed invoice terms before final content delivery unless otherwise agreed.

Invoices must be paid by the due date shown. Stage & Social reserves the right to pause work, delay content delivery or suspend services where payments are overdue.

All prices are quoted in pounds sterling (£). Prices may be updated from time to time; however, any agreed bookings will remain at the confirmed price.

Monthly Packages

Monthly social media packages are designed to provide ongoing content creation and support for dance and performing arts schools.

Monthly packages include the services outlined in the client's chosen package and may include content creation, graphics, captions, content calendars, social media scheduling, reporting and recommendations where applicable.

Monthly packages run on a rolling basis unless otherwise agreed in writing.

Clients may request to pause or end their monthly package by providing written notice in advance as per cancellation policy, 30 days notice. Any notice period, final billing arrangements or outstanding work will be confirmed at the time of cancellation.

Stage & Social will create content based on the information, images, videos and branding materials provided by the client. The quality and effectiveness of social media content may be affected by the availability, quality and suitability of materials supplied.

Unused content, posts or services from a monthly package cannot be transferred, refunded or carried over into future months unless agreed in writing.

Content Creation Days

Content creation days are designed to provide dance and performing arts schools with professional social media content captured on-site.

Content creation sessions may include photography, video clips, reels, behind-the-scenes content, class content, teacher introductions, promotional material and other agreed content.

The client is responsible for:

  • Ensuring suitable permission and consent has been obtained for any children or participants who may appear in photographs or videos.
  • Informing Stage & Social of any individuals who must not be photographed or recorded.
  • Ensuring appropriate safeguarding procedures are followed during the session.
  • Providing access to suitable spaces, classes, staff and relevant information needed to complete the agreed work.

Stage & Social will use reasonable care and professionalism when creating content. However, the final quantity and style of content produced may vary depending on factors including available time, activities taking place, lighting, environment and participation.

Travel charges, where applicable, will be agreed before booking and confirmed with the client.

Content created during a content creation day will be supplied according to the agreed package and timescale.

Client Responsibilities

Clients are responsible for providing accurate, up-to-date information and any materials required for Stage & Social to deliver the agreed services.

This may include logos, branding, photographs, videos, timetables, event information, enrolment details and other relevant content.

The client confirms they have the necessary rights, licences and permissions to supply any photographs, videos, music, logos or other materials used within the content created by Stage & Social.

Where content includes children or young people, the client is solely responsible for ensuring appropriate parental or guardian consent has been obtained in accordance with their safeguarding and data protection policies.

Clients are responsible for reviewing content and providing feedback or approval within agreed timescales. Delays in providing information or approvals may affect delivery dates.

Stage & Social is not responsible for delays or inaccuracies resulting from incomplete, incorrect or late information supplied by the client.

Photography & Safeguarding

Stage & Social is committed to working professionally and responsibly with dance and performing arts schools.

Stage & Social holds an Enhanced DBS certificate, is a Licensed Chaperone, has completed Level 3 Safeguarding Children training and is a Registered Midwife.

All photography and videography will be carried out in accordance with the client's safeguarding procedures and any site-specific requirements.

The client remains responsible for ensuring appropriate parental or guardian consent has been obtained for any photographs or videos created or supplied as part of the agreed services.

If the client identifies individuals who must not be photographed or recorded, Stage & Social will take reasonable steps to ensure these instructions are followed during content creation sessions.

Stage & Social reserves the right to stop or decline any photography or filming activity if safeguarding concerns arise or if appropriate permissions have not been confirmed.

Content Approval & Revisions

here applicable, Stage & Social will provide a monthly content planner or content calendar for the client's review before content is finalised.

Clients are responsible for reviewing the proposed content and requesting any amendments within the agreed timescale.

Once the content planner has been approved, Stage & Social will create the agreed content. Minor amendments to factual information, spelling or dates are included. Requests for significant changes after approval may incur an additional charge.

Delays in approving the content planner may affect agreed delivery dates or scheduled posting dates.

Where Stage & Social is responsible for scheduling content, posts will only be scheduled once the content planner has been approved unless otherwise agreed in writing.

Intellectual Property

All original content created by Stage & Social, including graphics, designs, captions and promotional materials, remains the intellectual property of Stage & Social until full payment has been received.

Once payment has been made in full, the client is granted a non-exclusive licence to use the completed content for the promotion of their own dance or performing arts school across their social media platforms and marketing materials.

The client may not resell, redistribute or claim ownership of Stage & Social's original designs, templates or branding.

Stage & Social reserves the right to display completed work, including graphics, social media posts, photographs and videos, within its portfolio, website, social media channels and other marketing materials unless the client requests otherwise in writing before work begins.

Portfolio & Promotional Use

Stage & Social may showcase completed work as part of its portfolio and marketing activities, including on its website, Facebook and Instagram pages and other promotional materials.

Where appropriate, Stage & Social will identify and tag the client's social media accounts when sharing completed work. This provides additional visibility for the client's school and helps introduce its classes and activities to a wider audience.

Where content includes identifiable individuals or performances, Stage & Social will use reasonable discretion and respect any safeguarding or confidentiality requirements communicated by the client before work begins.

Clients who do not wish their completed work to be used for promotional purposes must notify Stage & Social in writing before the commencement of the project.

Cancellation & Termination

Either party may end an ongoing monthly service by providing at least 30 days' written notice unless otherwise agreed in writing.

Any work completed or scheduled before the end of the notice period remains payable.

Content Creation Days require a non-refundable booking fee of 25% to secure the booking date. The remaining balance must be paid before or on the agreed content creation day, unless otherwise agreed in writing.

If a Content Creation Day is cancelled by the client, the 25% booking fee will not be refunded. Where substantial preparation or work has already been completed before cancellation, Stage & Social reserves the right to charge for work undertaken.

For one-off services, including Summer Social Media Packages and event promotion packages, cancellations should be made as soon as possible. Where work has already commenced, Stage & Social reserves the right to charge for work completed up to the date of cancellation.

Stage & Social reserves the right to end services where a client repeatedly fails to provide required information, breaches these Terms & Conditions or fails to make payment in accordance with agreed payment terms.

Limitation of Liability

Stage & Social will provide all services with reasonable care, skill and professionalism.

Whilst every effort is made to create high-quality social media content, Stage & Social cannot guarantee specific results, including increases in followers, engagement, enquiries or student enrolments.

Stage & Social is not responsible for the performance of third-party platforms, including Facebook, Instagram or other social media services, or for changes made by those platforms that may affect the visibility or performance of content.

Liability for any claim relating to the services provided shall be limited to the amount paid by the client for the relevant service, except where liability cannot be limited under applicable law.

Stage & Social has Public Liability Insurance and Professional Ideminity Insurance.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising from the provision of services by Stage & Social shall be subject to the exclusive jurisdiction of the courts of England and Wales.
